Booking & Cancellation Policy

1. Booking Confirmation

A booking with Time 4 Holidays is confirmed only when:

The required deposit or full payment has been received; and

A written booking confirmation has been issued by Time 4 Holidays via email.

Verbal discussions, enquiries, or provisional itineraries do not constitute a confirmed booking.

By proceeding with a booking, you acknowledge that you have read, understood, and accepted this Booking & Cancellation Policy along with our Terms & Conditions.

2. Deposits & Payment Structure

Most tours and holiday packages require a non-refundable deposit to secure bookings with accommodation providers, transport operators, guides, and third-party suppliers.

The deposit amount will be clearly stated at the time of booking.

Full payment is typically required 30–60 days prior to departure, unless otherwise specified.

Failure to make payments by the due date may result in:

Automatic cancellation of the booking; and

Loss of the deposit paid.

3. Customer Cancellations

Cancellation requests must be made in writing via email.

Cancellation fees apply based on the date we receive written notice, not the travel start date.

Standard Cancellation Schedule (Indicative)

Unless otherwise stated in your booking confirmation:

More than 30 days before departure:
70% refund (excluding deposit)

15–29 days before departure:
50% refund (excluding deposit)

Less than 14 days before departure or no-show:
No refund

These fees reflect non-recoverable costs already paid to third-party suppliers.

4. Supplier & Third-Party Cancellations

Many travel services (hotels, airlines, transport providers, tour operators) have their own cancellation terms.

Where a supplier imposes stricter cancellation conditions:

Those conditions will apply, and

Time4Holidays will pass on any unrecoverable costs.

We will always act in good faith to minimise losses where possible.

5. Date or itinerary changes

Changes to dates or itineraries are treated as cancellations, unless approved in writing by Time4Holiday. Approved changes may be subject to availability and additional costs.

6. Cancellations by Time 4 Holidays

In rare circumstances, Time 4 Holidays may need to cancel or modify a booking due to:

Insufficient participant numbers

Supplier failure

Safety concerns

Force majeure events (see Section 8)

If we cancel a tour for reasons within our control, you will be offered:

An alternative arrangement, or

A refund of amounts paid, excluding non-recoverable third-party costs.

7. Refunds

Approved refunds will be processed using the original payment method.

Refunds will be processed within 10 business days from approval. Processing times may vary depending on payment providers and suppliers.

Bank fees, currency conversion charges, and third-party penalties are non-refundable.

Refunds are issued in accordance with Australian Consumer Law, including where services are not delivered as promised.

8. Force Majeure

No cancellation fees or compensation will apply where travel is prevented due to events beyond reasonable control, including but not limited to:

Natural disasters

Pandemics or government travel restrictions

Civil unrest or terrorism

Airline disruptions or border closures

In such cases, refunds are subject to what suppliers are able to recover.

9. Travel Insurance (Strongly Recommended)

We strongly recommend comprehensive travel insurance covering:

Cancellation and interruption

Medical expenses

Supplier insolvency

Force majeure events

Failure to obtain adequate insurance may result in financial loss.

10. Australian Consumer Law

Nothing in this policy limits your rights under the Australian Consumer Law.

You are entitled to remedies for major failures and compensation for reasonably foreseeable losses.

11. Policy Acceptance

This Booking & Cancellation Policy forms part of your agreement with Time4Holidays and is deemed accepted when a booking is confirmed.
